- The following process outlines the steps followed when a prospective client contacts our agency to book a model for an assignment, in accordance with the latest UK guidelines and laws. This procedure encompasses the entire journey, from the initial call to the completion of the assignment:
- Client Inquiry: When a client contacts Sports Glamour to inquire about the availability of a specific model (e.g., Avalon, using her professional name), our response will focus solely on the information available on her dedicated web page. We respect the privacy of our models and do not disclose their personal details.
- Booking Details Collection: Prior to contacting the model, we collect essential details about the assignment, which include:
- Date and time of the assignment
- Venue details
- Nature of the assignment
- Clarification regarding separate payments for our agency’s commission and the model’s fee
- Commission percentage (usually negotiated between 10% and 20% based on the assignment type)
- Confirmation that the client will cover the model’s travel expenses, with specified amounts provided via email
- Confirmation that both the model’s fee and our agency’s commission will be transferred to the relevant accounts upon assignment completion.
- Model Availability Check: After gathering the assignment details, we check the model’s schedule to determine her availability. If she is indeed available, we initiate contact with her to present the assignment’s details, excluding the client’s information. The client’s information will only be shared with the model if she confirms her willingness to take on the assignment. This sharing of client details will only occur with the client’s explicit consent, preferably communicated via email or, alternatively, through text messaging.
- Client Confirmation: Subsequently, we reach out to the client to confirm the model’s availability. Upon receiving the confirmation, we proceed to share the model’s details with the client. However, this sharing of information will only occur after obtaining the model’s permission. Similar to the client’s consent, the model’s permission should preferably be conveyed through email or, if necessary, text messaging.
- Direct Contact: With both the client and the model’s permissions granted, the client and model are put in direct contact with each other. This step eliminates the need for us to act as intermediaries, streamlining communication between the involved parties and saving time for everyone involved.
- Confirmation Process:
- The day prior to the assignment, the model is required to confirm her availability via text messages sent to both the agency and the client. Failure to confirm could result in penalties for the model.
- On the day of the assignment, the model must text both the agency and the client to confirm her arrival at the venue. Failing to confirm could result in penalties for the model.
- Upon assignment completion, the model is expected to provide feedback to the agency about the assignment.
- Attendance and Cancellation Policies:
- In cases where a model fails to attend an assignment without a valid reason, the model will be removed from Sports Glamour’s roster.
- If a client cancels an assignment without providing sufficient notice for the model to adjust her schedule, the client is obligated to cover the full costs of the cancelled assignment, including the model’s fee and the agency’s commission.
- By adhering to these updated guidelines and laws, Sports Glamour ensures a transparent, respectful, and efficient process that respects the rights and privacy of all parties involved.
